If you would like to secure space please fill out the "Reserve Now" link if you have not already done so. This will reserve your spot in the system on your desired trip date for a seven-day period. During that period
you are required to make a $200 payment/deposit to secure a spot on the trip. If your deposit has not been received within the seven-day period the spot will be released. It is very possible that someone else has registered during that week and is awaiting that specific spot and an incomplete security deposit will result in forfeiting of the spot.

Paypal is safe, secure and easy to make a payment using credit cards. Credit cards are accepted using Paypal. You do not need to set up an account, it is possible to pay using your Visa or Mastercard without an account (see image below).

Making a payment using an online Interac email money transfer is simple. It is easy for everyone to make a secure online transfer. If you have online banking just follow the steps below.

This transfer and the information you provide is between you and our Beach Travellers Trust Account. The Trust account has been established to ensure your money is 100% secure.
The easiest way to make a payment and initial deposit it at the bank. An electronic invoice will be sent to you upon your initial deposit. At this time we ask you make your deposit of $200 to secure your spot on the trip you plan on going on.
Beach Travellers has a trust account set up for all of our clients so they can effortlessly make a deposit and payments. Our account is set up with the TD bank and a payment can be made at any TD branch with the following information.
Please be sure to inform the teller with your first and last name, as that is how it will appear on our records. Interac email money transfer is also possible for payments with online banking. We recommend the interac email money transfer option because it is definitely the easiest way to make payments.

Deposits & Payments
A deposit of $200 is required within seven (7) days of the reservations being submitted or the reservation will be cancelled.
Deposits are 100% non-refundable, however will be retain indefinitely for use at a later time should a cancellation be required.
The value of the deposit is for the original amount paid. If deposit amounts have increased at the time of re-booking the difference will be required to paid in order to confirm the re-booking.
Deposits cannot be combined and are limited to one booking per person.
If a second booking is made with the original deposit and is subsequently cancelled then the initial deposit will also be cancelled with no refund issued.
Accounts are due in full not later than 60 days prior to departure. If accounts are not paid in full by the due date, then rates and tour space cannot be guaranteed and Beach Travellers reserves the right to treat your booking as cancelled
Payment plans are offered to all clients, with terms as follows:
105 days before departure - 40% of trip cost due
90 days before departure - 20% of trip cost due
75 days before departure - 20% of trip cost due
60 days before departure – 20% of trip cost due
All missed or late payments are subject to a $45 fee per missed due date
Late Bookings
Reservations received within 60 days prior to departure must be paid in full and all required travel documentation provided to Beach Travellers via email at the time of booking.
Reservations received within 30 days prior to departure will be provided with Land Only packages and must be paid in full at the time of booking.
Cancellations by Beach Travellers
Bali, Thailand, Costa Rica
If at 60 days prior to departure there are not enough clients booked for your chosen trip, Beach Travellers reserves the right to cancel the trip. Clients will be given the option of a full refund or alternative trip dates.
Trips may also be cancelled prior to 60 days before departure due to Force Majeure (circumstances beyond the reasonable control of Beach Traveller), which include, but not limited to war, threat of war, riot, civil strife, terrorism, industrial dispute, disease, industrial or nuclear disaster, adverse weather conditions, natural disasters, fire, strikes or any other external events it proves to not be viable for Beach Travellers to operate the planned itinerary
Beach Travellers is not responsible for any incidental expenses that clients may incur as a result of reservations being cancelled, such as visas, vaccinations or non-refundable airfare
Brazil
If at 90 days prior to departure there are not enough clients booked for your chosen trip, Beach Travellers reserves the right to cancel the trip. Clients will be given the option of a full refund or alternative trip dates.

Beach Travellers is not responsible for any incidental expenses that clients may incur as a result of reservations being cancelled, such as visas, vaccinations or non-refundable airfare
Cancellations by Client
Pre departure cancellations will only be accepted when submitted in writing via email.
It is the responsibility of the client to ensure that adequate trip cancellation and interruption insurance is purchased to cover any forfeited portion of their trip cost if a cancellation is necessary.
Cancellation charges are applicable as follows:
105 days before departure - 25% of payments forfeited
90 days before departure - 30% of payments forfeited
75 days before departure - 50% of payments forfeited
60 days before departure - 100% of payments forfeited
If a client chooses to leave the trip for any reason post departure, Beach Travellers is not obligated to make any refunds for unused services
Unused Services
There will be no discounts or refunds for missed or unused services, which includes voluntary or involuntary termination/departure from tour i.e. sickness, death of a family member etc., missed flights, late arrival on the tour or premature departure, either voluntary or involuntary. All transportation, airfare and accommodations are secured and paid for in full prior to clients arriving in their destinations and as such no refunds or credits are provided to Beach Travellers for missed or unused services.
Airfare and Flights
All clients purchasing all-inclusive travel packages must submit the following mandatory travel documents at least 90 days prior to departure:
Copy of Passport showing
- Name
- Nationality
- Date of issue and expiry
If the required documents are not received at least 90 days prior to departure, airfare will not be confirmed and reservations guaranteed.
Airfare will be booked with the information provided with the initial reservation. If there are changes to this information, details must be provided to Beach Travellers in writing no later than 90 days prior to departure.
Airfare will be booked in order for the client to arrive in their chosen destination on Day 1 of the tour and depart on the final day of the itinerary. Deviations in airfare regarding return dates, and locations are not permitted.
Unless otherwise stated, airfares are 100% non-changeable and non refundable once tickets have been issued.
Changes requested prior to ticketing will be done at Beach Travellers discretion and administrative fees will apply.
Beach Travellers will not be responsible for any additional expenses or losses that may arise from airline airport or weather delays. Beach Travellers will not reimburse or compensate for any additional expenses incurred by the client as a result.
Beach Travellers will not refund any unused portion of airfare in the event of such delays due to conditions beyond its control.
Client Details
In order for Beach Travellers to confirm travel arrangements, clients must provide the following details necessary with the balance of the trip cost:
- Copy of Passport showing
- Name
- Nationality
- Date of issue and expiry
- Passport issue and expiry date
- Any pre-existing medical conditions
- Any medications which will be carried with the client during the trip
Passports & Visas
It is the responsibility of the client to ensure that they are in possession of a valid passport (6 months validity beyond return date) prior to departure.
It is the responsibility of the client to ensure that they are in possession of the correct visas, permits or certifications prior to departure.
It is in no way the responsibility of Beach Travellers if clients are refused entry because clients lack the correct travel documentation.
Pricing & Surcharges
Pricing is based on Canadian Dollars at the time of booking.
Beach Travellers reserves the right to impose surcharges within 60 days for the following reasons:
- Increase of exchange rates
- Increase in transportation costs (air or otherwise)
- Increase in local operation costs
In the event of a price increase, Beach Travellers will cover the cost of the first 2%, with the client responsible for the balance.
In the event of a price increase of more than 15%, clients will be provided with the option of a full refund if cancellations are received within 14 days of notice of increase
Discounts
All discounts and reduced pricing is applied at the discretion of Beach Travellers. From time to time Beach Travellers may offer reduced pricing in selected trips,. The reduced pricing applies strictly to new bookings only, and bookings that have already been secured with a deposit are locked into their original pricing and are not entitled to the reduced pricing.
Past Traveller Discounts are valid only for travel booked within 12 months of the initial booking and will only be applied to bookings once deposits have been received.
Travel Insurance
It is mandatory for all clients to have proper medical insurance, which should be taken out at the time of booking.
Proof of medical coverage must be provided on arrival in the clients chosen destination before being is permitted to join the group.
At a minimum, coverage should:
- Protect against personal accident, death, medical expenses, emergency repatriation and personal liability
- Have a minimum of $1 Million CAD coverage
Flexibility & Change of Itinerary
The itinerary provided is a representation of the activities that Beach Travellers provides, but is its understood that the route, schedule, itinerary, amenities and modes of transport are subject to change or alteration without prior notice based on local circumstances or events.
While we strive to ensure that all trips are operated as described, Beach Travellers reserves the right to change the trip itinerary.
If any major changes are made prior to departure clients will be informed as soon as possible.
A major change is one where at least one in five days is affected.
Clients will be given the option of a full refund of a major change is made prior to departure.
Beach Travellers reserves the right to make major changes to the itinerary after departure due to local circumstances or events outside of our control.
In Country Authority
Beach Travellers travel guides run all groups.
The decisions of the guides are final on all maters likely to affect the safety or well being of any clients participating in the trip.
If clients fail to comply with the decisions of the guide, or interferes with the well-being of the group, the guide may order you to leave the trip immediately, with no right of refund.
Optional Activities
Optional activities not included in the trip price do not form part of the trip or the contract.
Any assistance provided by Beach Travellers in arranging optional activities in no way renders Beach Travellers liable for them.
Group Size
Although our group sizes are limited to a maximum number of clients, from time to time through the trip you may encounter another Beach Travellers group at the same location. We do our best to limit these encounters, however logistics and availability will sometimes inhibit our ability to do so.
Errors & Omissions
Although Beach Travellers have made a concerted attempt to verify the accuracy of statements made in our trip documentation, including brochures, website and trip notes, we cannot be held responsible for any errors, omission or unintended misrepresentation that may occur.
